Why it may be needed abroad
When a person passes away in India and has ties to another country, offices there need proof of the death before they can act. The certificate usually has to be legalised so that the foreign office can rely on it. The situations families bring to us most often are these:
- Inheritance and estates. A bank account, shares or a will abroad cannot be settled until the heirs show proof of death.
- Pension. A foreign pension fund needs to stop payments to the deceased, and may start a survivor's pension for the spouse.
- Insurance claims. Life insurers abroad ask for a legalised certificate before they process a claim.
- Property matters. Transferring or selling property in another country, or closing a lease, often requires it.
- Records of a family member abroad. A surviving spouse may need it to update residence, marital status or remarriage records.
The certificate itself
The death certificate must be issued by the registrar of births and deaths. In cities that is the municipal corporation or municipality. In rural areas it is the local registrar for the village, block or tehsil. It carries a registration number, the registrar's signature and the office stamp.
A hospital's medical certificate of the cause of death is a different paper. It supports the registration, but it is not the death certificate a foreign office will ask for. If the death has not yet been registered, that has to be done at the registrar's office first.
Check that the name, age and date of death are correct and match the person's passport or other records abroad. A small spelling difference can delay a claim. If you find one, ask the registrar for a correction before the certificate is attested.
Order extra copies: registrars can issue more than one copy. If you have dealings in more than one country, or with several institutions, it helps to have separate copies attested for each.
How it reaches the MEA
A death certificate is a personal document. Before the MEA will stamp it, it is verified by one of two routes.
Route A
Notary + SDM → MEA
Used for most apostille countries when the receiving office does not ask for state verification. ₹1,500 per document.
Route B
State Home Department → MEA
Needed for Italy, Spain and Portugal, and when the receiving office asks for state verification. Priced on quote.
Embassy countries and translation
Countries that use the Hague Apostille Convention accept the MEA apostille on its own. For Saudi Arabia, the apostille must be the MEA e-apostille with a QR code. Bahrain usually accepts the MEA apostille with a translation.
Countries outside the convention need one more step. The MEA attests the certificate, and that country's embassy in India then adds its stamp. This applies to the UAE, Qatar, Kuwait and Oman, among others. For China, the MEA attestation is followed by China Embassy legalisation.
A death certificate in Hindi or a regional language, or one going to a country that does not work in English, will usually need a translation. We translate into any language, priced on quote, and tell you whether the translation needs to be legalised as well.
Offices handling an estate often ask for other papers alongside the death certificate, such as the marriage certificate of the surviving spouse or a power of attorney for a relative abroad. We can process these together. See marriage certificate attestation.

Questions families ask us
Who can apply for the attestation?
Usually a close family member, such as the spouse, a child or another legal heir. We need a copy of the applicant's ID along with the certificate. If the foreign office asks for proof of relationship, we tell you what to add.
The death happened many years ago. Can the certificate still be apostilled?
Yes, if it was issued by the registrar and is clear and readable. If the copy is faded or damaged, ask the registrar for a fresh copy first.
I live abroad. Can someone in India send the certificate to you?
Yes. A relative can drop it at our office or courier it to us, and we return it to the address you choose in India. You can stay in touch with us directly on WhatsApp.
Does the apostille confirm the cause of death?
No. It confirms that the certificate is a genuine document issued by an Indian authority. It does not add or change any details written on it.
How long does it take?
It depends on the route and the country. We give you a time estimate with the price, before you send the certificate.
